How Much to Charge for Custom Labels: Pricing from Cost, Not Guesswork

When "Just Match Their Price" Becomes the Plan
A customer calls asking for a quote on 5,000 pressure-sensitive labels — three colours, a die-cut oval, glossy BOPP. Before you can even open the spec sheet, they add: "The shop across town quoted us eight cents a label. Can you beat that?"
If you don't know your own cost per label on this specific job — this substrate, this die, this colour count, this run length — you have two bad options. Say yes and hope the number works out, or say no and lose the job to a competitor who may, in fact, have priced it wrong themselves. Neither is a pricing strategy. Both are guesses wearing a decision's clothes.
This is how a lot of small label shops actually set prices: not from their own cost structure, but from whatever number floats in from a customer, a rumour, or last year's quote for something that seemed similar. It works fine — right up until it doesn't, and you find out at month-end that the "eight cents" jobs were running at a loss while the ones you priced from instinct happened to be fine.

Substrate. Roll stock is priced and consumed by area, not by the label. In the US that unit is MSI — thousand square inches. Take your label's face-stock area, multiply by the quantity, divide by 1,000, and you have the MSI consumed. Multiply that by your substrate's cost per MSI and you have raw material cost for the run, before waste.
Plates. Flexo is a per-colour tooling cost. A three-colour job carries three plates; a six-colour job carries six. If the plates are new for this design, that cost lands entirely on this job (or, if you expect reorders, you can choose to amortize it across the expected life of the design — a real decision, not an afterthought). This is one of the biggest reasons per-label cost is not one flat number: a five-colour job with a full-coverage screen costs meaningfully more to plate than a two-colour line-art label, even at the same quantity.
Makeready waste. Every job burns some substrate and press time getting registration and colour right before good product starts running. That waste is real cost — it just doesn't show up in the label count, because it's the labels you didn't ship.
Die amortization. If the job needs a new die, that tooling cost has to be recovered somewhere. Spread it over one run and a short order looks expensive; spread it over an expected reorder pattern and the number changes — which is exactly why die cost decisions belong in your estimate, not in your head.
Press time, loaded. Your press doesn't run at one universal speed — it runs at a speed that depends on colour count, tooling, and substrate, and that time costs your loaded hourly rate: labour, overhead, and press time folded together, not just the wage on the timesheet.
Add these up and divide by the label count, and you have a real cost per label — a number you built, not one you heard secondhand.
A Worked Example: Pricing a 5,000-Label, 3-Color Job
Here's a worked example with round numbers, built purely to show the method — swap in your own shop's actual costs and this becomes a real quote instead of an illustration.
Say the job is 5,000 labels, 3 inches by 2 inches face (6 square inches), three colours, one design, one-up.
- Substrate: 6 sq in × 5,000 labels = 30,000 sq in = 30 MSI. At an example rate of $60/MSI, that's $1,800.
- Plates: 3 colours × $50/plate (example) = $150.
- Makeready waste: call it $150 in lost substrate and setup material for this example.
- Press time: at this colour count, say the press runs the equivalent of about 45 minutes including makeready, at an example loaded rate of $150/hour. That's roughly $112.
Total cost for the run: $1,800 + $150 + $150 + $112 ≈ $2,212, or about $0.44 per label.
That $0.44 isn't a price — it's a floor. It's what the job costs you to produce, before you've earned anything for running the business. That's the real answer to how much to charge for custom labels on this job: not a market rate borrowed from a rumour, but a number you built line by line.
How Much to Charge for Custom Labels Once You Know What They Cost You
This is the point where the question stops being a market-research problem and becomes an arithmetic one. You take your cost per label and add a margin that reflects what your business needs to earn — not what a competitor is rumoured to charge.
There's no universal margin percentage that's correct for every shop; that number depends on your overhead structure, your growth plans, and what else is competing for press time. What matters is that it's a deliberate business decision, applied consistently, rather than something that drifts job to job depending on how the conversation with the customer went.
As a worked illustration only: on the $0.44 cost above, a shop targeting a 30% margin would price at cost ÷ (1 − 0.30) ≈ $0.63 per label. A shop targeting 40% would land closer to $0.73. Same job, same cost — the difference is a deliberate margin decision, made once and applied on purpose, not negotiated in real time on the phone.
The price isn't the number a competitor said out loud. It's your cost, plus the margin you decided your business needs — applied the same way on the next job, and the one after that.
