Cost Per MSI for Labels: What It Means and How to Work It Out

The quote that went out wrong
A converter gets three substrate quotes for the same job: one supplier prices in dollars per MSF, one in dollars per pound, and one — finally — in dollars per MSI, which is what the shop's rate table actually runs on. The estimator is moving fast, eyeballs the MSF number, drops it into the "cost per MSI" cell without converting, and the job goes out priced on a substrate cost that's off by more than 100×. Nobody catches it until the invoice reconciliation three weeks later, and by then the margin is already gone.
This isn't a math problem. It's a units problem. MSI, MSF, per-pound, per-linear-foot — every supplier has a favorite way to quote roll stock, and none of them are wrong, they're just different units describing the same roll. The fix is having one conversion path you run every time, so "cost per MSI" means the same thing no matter which supplier's invoice it came from. By the end of this, you'll be able to take any roll quote — MSF, per-pound, per-meter, whatever shows up — and turn it into a clean cost-per-MSI number you can drop straight into a rate table with confidence.
What MSI actually means
MSI stands for thousand square inches. It's the standard unit for pricing label substrate in the US because label material is sold and consumed in small, irregular increments — a die-cut label isn't a full sheet or a full roll, it's a few square inches at a time, repeated thousands of times per job. Pricing per square inch would produce numbers so small they're unworkable in a spreadsheet (fractions of a cent with several leading zeros); pricing per thousand square inches gets the decimal into a range a human can actually read and compare — typically somewhere between a few tenths of a cent and a couple of dollars per MSI depending on the material.
The unit itself doesn't care whether the substrate is paper, film, or foil, and it doesn't care what shape the finished label is. MSI is purely a measure of area — width times length, divided by 1,000. Everything downstream (comparing suppliers, building a rate table, pricing a job) depends on getting that area calculation right before anything else happens.
How cost per MSI is calculated for labels
The core formula is simple once the roll is described in consistent units:
Cost per MSI = (total roll cost ÷ total roll area in square inches) × 1,000
The work is almost always in getting "total roll area in square inches" right, because rolls are usually described by width (inches) and length (feet or linear footage), not by area directly.
Worked example. Say a roll of pressure-sensitive film costs $185.00, is 4 inches wide, and contains 5,000 linear feet of material.
- Convert length to inches: 5,000 ft × 12 in/ft = 60,000 inches.
- Total area: 4 in (width) × 60,000 in (length) = 240,000 square inches.
- Convert to MSI: 240,000 ÷ 1,000 = 240 MSI.
- Cost per MSI: $185.00 ÷ 240 MSI = $0.7708 per MSI, roughly $0.77/MSI.
That number — cost per MSI — is now denominated the same way regardless of what roll width or length the supplier happened to ship. A 6-inch-wide roll of the same material at the same underlying cost structure should land on a very similar $/MSI figure once you run it through the same formula, even though the roll cost and length are completely different numbers. That consistency is the entire point of pricing in MSI instead of per-roll or per-pound: it lets you compare apples to apples across suppliers, roll widths, and even substrate types.
From cost per MSI to cost per label
Cost per MSI on its own doesn't price a job — it has to be applied to the actual label size to produce a material cost per label, and then multiplied out across the run.
Continuing the example above, say the label being quoted is 3 inches by 2 inches (a common small-format size).
- Label area: 3 in × 2 in = 6 square inches.
- Convert to MSI: 6 ÷ 1,000 = 0.006 MSI per label.
- Material cost per label: 0.006 MSI × $0.7708/MSI ≈ $0.00463 per label.
- For a run of 5,000 labels: 5,000 × $0.00463 ≈ $23.15 in substrate cost for that run.
Note that this figure is substrate only — it doesn't include the die cut waste, matrix waste, or gap between labels that a real roll layout has to account for; those get layered in separately once the label is nested on the web. Converting between MSI, MSF and square meters without losing money
Not every supplier prices in MSI, and not every reference material you're handed will be in inches. Two conversions come up constantly:
MSF to MSI. MSF means thousand square feet. Since 1 square foot equals 144 square inches, 1,000 square feet equals 144,000 square inches — which is 144 MSI. So:
Cost per MSI = Cost per MSF ÷ 144
If a supplier quotes $110 per MSF, that's $110 ÷ 144 ≈ $0.764 per MSI — close to, but not identical to, the roll-based figure above, which is exactly the kind of small discrepancy worth investigating rather than assuming away.
Square meters to MSI. Metric-sourced substrate (common with imported films) is sometimes quoted per square meter. One square meter equals approximately 1,550 square inches. To go from cost per square meter to cost per MSI:
Cost per MSI ≈ Cost per m² × (1,000 ÷ 1,550) ≈ Cost per m² × 0.645
A film quoted at $1.20/m² converts to roughly $0.774/MSI — again, in the same neighborhood as the examples above, which is a useful sanity check: wildly different unit conversions landing on wildly different final numbers is usually a sign the conversion was done wrong, not that the substrate is genuinely priced that differently.
These aren't statistics or industry benchmarks — they're fixed geometric conversions (144 square inches per square foot, ~1,550 square inches per square meter) that don't change with the market. Getting them wired into a rate table once means never re-deriving them under deadline pressure again.
Keeping cost per MSI consistent across suppliers
The reason cost-per-MSI discipline matters more than the arithmetic itself: once you have three or four suppliers all priced into the same unit, you can actually compare them, spot the outlier, and negotiate from a position of knowing the real number — not the number a sales rep phrased most favorably. A supplier quoting per-pound instead of per-area is often (not always) doing so because pound-pricing obscures a thinner, cheaper-feeling material that actually costs more per usable square inch than it looks. Running everything through the MSI conversion strips that framing away.
It also means every estimator on the team is quoting from the same substrate cost regardless of who did the math, which matters more the moment a shop has more than one person building quotes.
